Channel Manager Policy

DigiBeds Channel Manager is connectivity technology — the roles, responsibilities and liability of properties, channels and DigiBeds.

1. Purpose and Scope

This Channel Manager Policy governs the use of the DigiBeds Channel Manager — the connectivity technology that synchronises room rates, availability, restrictions, inventory and reservation data between a property’s DigiBeds systems (PMS and booking engine) and connected distribution channels, including online travel aggregators and agencies (“OTAs”), metasearch platforms, global distribution systems and other connectivity partners (together, “Channels”). It applies to every property, authorised user and connected Channel, and forms part of the Digibeds legal framework together with the Software as a Service Policy, the Terms & Conditions of Use, the Privacy Policy and, for Channels, the OTA Connectivity Partner Policy. By connecting any Channel through DigiBeds, the property and the Channel accept this Policy.

2. DigiBeds Acts as a Technology Intermediary Only

The DigiBeds Channel Manager is a data connectivity and synchronisation layer. DigiBeds:

  • is not a travel agent, tour operator, online travel agency, accommodation provider, wholesaler or merchant of record;
  • does not own, control, sell or resell any room inventory;
  • is not a party to the accommodation contract. Every booking is a contract between the guest, the Channel through which the booking was made (under that Channel’s own terms) and the property that provides the stay;
  • does not set, negotiate or guarantee rates, commissions, availability, content or booking conditions on any Channel;
  • does not collect guest payments on behalf of properties or Channels unless a separate written payment service agreement expressly says so.

3. No Liability to Serve or Fulfil Bookings

DigiBeds is not liable to serve, honour, fulfil or deliver any booking. Responsibility for providing the booked accommodation, at the booked rate and conditions, rests solely with the property; responsibility for the guest-facing sale rests with the Channel through which the booking was made. Without limiting the Software as a Service Policy, DigiBeds is not liable for:

  • overbookings, relocations (“walking” a guest), denied check-ins, or the costs of any of them;
  • rate or content errors originating from data entered by the property or displayed by a Channel;
  • rate-parity disputes, commission disputes, or settlement disputes between properties and Channels;
  • Channel platform outages, API changes, delisting decisions, ranking, or a Channel’s acceptance or rejection of any update;
  • bookings, modifications or cancellations that a Channel fails to transmit, transmits late, or transmits incorrectly;
  • losses arising while a property’s mapping, credentials or configuration are incorrect or incomplete.

Synchronisation is performed on a prompt, best-effort basis with the availability targets described in the Software as a Service Policy. Distribution across third-party platforms can never be guaranteed to be instantaneous or error-free; properties must monitor their extranets and the DigiBeds sync logs and keep a sensible inventory buffer where appropriate.

4. Property Responsibilities

  • Maintain accurate rates, taxes, availability, restrictions, room content and policies in DigiBeds, and correct room and rate-plan mappings for every connected Channel;
  • honour every confirmed reservation delivered through the Channel Manager, including during any period of technical disruption;
  • keep Channel credentials current and confidential, and notify DigiBeds promptly of credential changes or suspected compromise;
  • review sync monitors and Channel extranets regularly and raise discrepancies without delay;
  • comply with each Channel’s own contract and with applicable law, including price display, tax and consumer rules of the markets where inventory is sold;
  • settle commissions, invoices and disputes directly with each Channel — DigiBeds is not a party to those settlements.

5. Channel Responsibilities

Each connected Channel is responsible for its own platform, its guest relationships under its own terms, the accurate display of data it receives, and the timely, complete delivery of bookings, modifications and cancellations to the DigiBeds interface. Channels that connect to DigiBeds are additionally bound by the OTA Connectivity Partner Policy.

6. Data Flow and Protection

Reservation and guest data passes through the Channel Manager solely to operate the connectivity service. It is processed in accordance with the Privacy Policy and applicable data protection laws (including the EU/UK GDPR and India’s DPDP Act 2023); data processing agreements are available on request. DigiBeds does not sell guest data and does not use it for advertising.

7. Third-Party Dependency, Maintenance and Changes

Channel connectivity depends on interfaces owned and changed by third parties. DigiBeds may add, modify, suspend or retire the connection to any Channel where the Channel changes or withdraws its interface, imposes conditions DigiBeds cannot reasonably meet, or creates security, legal or operational risk. Scheduled maintenance follows the Software as a Service Policy.

8. Fees

Channel Manager fees are set by the property’s subscription or order form. Channel commissions, marketing programmes and payment charges are separate, are set by each Channel, and are payable by the property directly to the Channel.

9. Suspension

DigiBeds may suspend synchronisation for a property or a specific Channel where credentials fail, data integrity is at risk, invoices are overdue, or continued operation would breach law, this Policy or a Channel’s requirements. Suspension of a Channel does not cancel bookings already delivered.

10. Liability Cap

The exclusions and the aggregate limitation of liability in the Software as a Service Policy apply to the Channel Manager in full, including the exclusion of indirect and consequential loss, lost revenue and lost bookings.

11. Framework and Changes

DigiBeds may update this Policy from time to time; the version published on this page applies. Continued use of the Channel Manager after an update constitutes acceptance.
